This policy describes how OnPoint Rig Services LLC ("OnPoint", "we") handles information in its internal fuel dispensing control system, which our employees use through WhatsApp to request authorization to fuel company vehicles and equipment.

This system is for OnPoint employees only. It is not offered to the public.

Information we collect

• Identity: the employee's name, WhatsApp phone number and WhatsApp user identifier, and preferred language. For administrators, a work email address.
• Meter photographs that the employee sends of the fuel meter display, before and after fueling.
• Fuel transaction records: date and time, the vehicle or equipment fueled, meter readings, gallons dispensed, and who requested it.
• Conversation records of the messages exchanged with the system, used to operate and audit it.
• Pump activity reported by the pump's control switch (on/off and power use).

How we use it

Only to authorize fuel pumps, keep an accurate record of each fueling, detect discrepancies between reported and measured fuel, and notify OnPoint administrators when something requires review.

We do not sell, rent or share this information for advertising.

Who can see it

OnPoint administrators and personnel designated by OnPoint.

Service providers

We use these providers to operate the system. They process information on our behalf:

• Meta Platforms (WhatsApp Business Platform) — messaging.
• Supabase — database and file storage, hosted in the United States.
• OpenAI — reading the number shown in meter photographs.
• Tuya — control of the pump switches.
• Resend — email notifications to administrators.

Retention

Fuel transaction records are kept as business records for as long as OnPoint needs them for operational, accounting and audit purposes. Meter photographs are kept as long as they are needed to verify transactions; photographs linked to a discrepancy or an open review are kept until that review is resolved and may be kept longer as evidence.
